How Do I Make Digital Business Cards for My Whole Team?

Make digital business cards for teams with one data sheet, one template and a test batch before the rest. The order, the fields and offboarding.

To make digital business cards for your whole team, collect everyone’s details in one shared sheet, build one branded template, test it on a few people, and only then create the rest. Digital business cards for teams go wrong when each person invents their own title format and photo style. The tool matters less than the order you do things in.

Most guides on this topic come from vendors and jump straight to their admin dashboard. This one starts with the data sheet, because every platform, bulk import or not, turns those fields into a contact file.

What you need before you start

A team rollout needs four things decided up front: who owns the cards, which fields every card shows, one visual style, and what happens when someone leaves.

  • Owner. One person, often in marketing or ops, who approves the template and fixes errors.
  • Fields. Name, job title, department, work email, work phone, photo and one or two links.
  • A style. Logo, colours and photo rules. Bitly’s rollout guide suggests standardizing “fonts, colors, and company logo placement” with optional fields for personal touches.
  • Leaver rule. Write it down now, not on someone’s last day.

Build one data sheet for digital business cards for teams

The data sheet is a spreadsheet with one row per person and one column per card field. It becomes the import file on admin plans and the checklist for self-serve setups.

Every column should map to a field in the contact file people save to their phone. That file is a vCard, defined in RFC 6350. Get the mapping right and nobody stuffs a department into the job title box.

Sheet column vCard property Example
Company and department ORG ORG:ABC, Inc.;North American Division;Marketing
Job title TITLE TITLE:Research Scientist
Role on a project ROLE ROLE:Project Leader
Company logo LOGO A link to the logo image

RFC 6350 describes ORG as the organizational name and units, and TITLE as “the position or job” of the person. So “Marketing” goes in ORG and “Senior Designer” goes in TITLE.

Add a profile URL column too. Pick a format such as first name plus last name, and check for duplicates before anyone claims one.

Choose self-serve or admin bulk import

Self-serve means each person creates their own card from your instructions, while bulk import means an admin uploads the data sheet and the platform creates every card at once. Team size and turnover decide which one fits.

Situation Better fit Why
Under 10 people, low turnover Self-serve Setup takes minutes per person and costs little
Sales team with regular hires Admin bulk import New starters get a card on day one
Several offices or brands Admin plan with locked template Stops style drift across locations
You need leads in one place Admin plan with central export Saves collecting CSVs from each person

As of November 2026, bulk tools sit on paid team tiers. Uniqode’s help center lists “Team plan or above with administrator privileges” for bulk create, with a CSV or XLSX upload. Its required columns include card owner email, first name, last name and work email. Wave Connect’s help center says it needs its teams or Enterprise plan for CSV import, and the Team Name column must exactly match a team that already exists.

How to roll out digital business cards for teams step by step

A safe rollout runs as a small test, a fix, then everyone else.

  1. Fill the data sheet. Ask each person to check their own row. Typos in phone numbers are the most common problem.
  2. Build the template. Set the logo, colours and field order once.
  3. Create five test cards. Pick people from different roles.
  4. Scan and save each test card. Open it on an iPhone and an Android phone, tap save, and read the contact in the Contacts app.
  5. Fix the template, then create the rest. Bulk import or send the self-serve instructions.
  6. Train the team. Bitly’s guide recommends sharing through email signatures, SMS, WhatsApp or LinkedIn, and syncing contacts with your CRM.

Step 4 catches most errors. One example: the company name shows as “ABC” with “Inc.” split off as a department. That happens because a comma inside ORG has to be escaped, as the RFC example shows. A good platform handles that for you, but you only know after a test save.

What about wallets and NFC cards?

Digital business cards for teams don’t go into phone wallets by default. Bitly states that “Apple Wallet and Google Pay don’t natively support the creation of business cards,” so a third-party pass tool is needed if you want that.

NFC cards are simpler. Each card stores the person’s profile URL, and any compatible tag works. See our NFC business cards guide and how to write a URL to an NFC tag.

Plan for people leaving

The leaver rule decides what happens to a card and its contacts when someone leaves. Without one, an old card keeps sending customers to an inbox nobody reads.

  • Point the leaver’s card at a team inbox or their replacement, or switch it off.
  • Export any leads the card collected before access is removed. Our guide on exporting contacts to a CRM covers the CSV side.
  • Update the data sheet so the next import doesn’t bring them back.

Bitly also suggests picking a platform that can change card URL or QR code destinations in bulk. Offboarding is where you’ll use it.

How QRCard handles team cards today

QRCard’s Team plan is listed as coming soon: $29/month or $290/year for up to 10 seats, with shared team branding, centralized lead export and admin tools. Until it launches, there’s no bulk import or admin console.

Self-serve works now. Each person makes a free card at a URL like qrcard.in/c/name, using your data sheet and one agreed theme. Pro is $4.99/month and adds all 8 themes, full analytics, mutual exchange and CSV export per person. Every card updates live, so a title change doesn’t need a reprint. Our walk-through on updating a digital business card explains how.

The limit: you collect leads person by person, and nothing stops someone changing their theme. A team of 5 can live with that. A large sales team should wait for an admin plan.

My take: build the data sheet first, even if you aren’t buying anything yet. People skip it, and every tool needs it. The Pro plan for one person is enough to test the template before committing a whole team.

FAQ

Can employees make their own digital business cards?

Yes. Self-serve works well for small teams if you give everyone the same field list, title format and theme. For larger teams, an admin plan with bulk import keeps cards consistent.

What file do I need for bulk creation?

Usually a CSV or spreadsheet built from the vendor’s own template. Uniqode accepts CSV or XLSX, and Wave Connect gives you a CSV template to fill in.

Can team cards go into Apple Wallet or Google Wallet?

Not natively. Bitly notes that Apple Wallet and Google Pay don’t support creating business cards on their own, so a third-party pass tool is needed.

What happens to a card when an employee leaves?

Decide this before rollout. Turn the card off or point it to a team contact, and export any leads it captured so the follow-up stays with the company.
